A shared spreadsheet can suit a small catalog with a clear owner, limited updates, and few destinations. Use stable identifiers, validation rules, a documented field dictionary, and a predictable review routine before adding another system.
Where coordination becomes difficult
Watch for conflicting copies, repeated supplier corrections, unclear approvals, and manual re-entry across channels. These are useful signals to investigate. Measure the time spent fixing these issues rather than choosing software based only on the number of products.
